1. Who we are

ProSign24 is operated by PIXELTECH SP. Z O. O., Nowogrodzka 50/515, 00-695 Warszawa, Poland ("ProSign24", "we", "us"). We act as data controller for the personal data described in this policy, except where we process customer content on behalf of an account holder, in which case we act as a processor.

2. Data we collect

  • Account data: email address, hashed password (or federated identity), name if provided, account settings.
  • Envelope content: uploaded PDFs, placed fields, signer names and email addresses, signature images and typed values, completed PDFs, certificates of completion.
  • Signing evidence: timestamps, IP addresses, user-agent strings, and consent records for signers and the account owner.
  • Billing data: subscription status, plan, renewal dates, and identifiers returned by our payment processor (Stripe). Full card numbers are handled by Stripe, not by ProSign24.
  • Product telemetry: logs, error reports, and basic analytics used to operate and improve the Service.

3. How we use data

  • Provide, secure and support the electronic-signature service.
  • Deliver invitations, reminders and completion notifications by email.
  • Generate certificates of completion and integrity records.
  • Process subscriptions, invoices and refunds through Stripe.
  • Comply with legal obligations and enforce our Terms of Service.
  • Detect, investigate and prevent fraud, abuse and security incidents.

4. Legal bases (GDPR)

Where GDPR applies, we rely on the following legal bases:

  • Performance of a contract with the account holder.
  • Our legitimate interests in operating and securing the Service, and in keeping records of executed envelopes.
  • Compliance with legal obligations (accounting, tax, cooperation with authorities).
  • Consent, where required (for example, for certain marketing communications).

5. Sharing and processors

We share personal data with a limited set of service providers, including:

  • Cloud infrastructure and database providers used to host the Service.
  • Email delivery providers used to send transactional messages.
  • Stripe, for payment processing and subscription management.
  • Error monitoring and analytics tools used to operate the Service.
  • Authorities or legal counsel where required by law or to enforce our rights.

Envelope content is shared with the signers you invite. We do not sell personal data.

6. International transfers

Some of our providers are located outside the European Economic Area. Where required, we rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses.

7. Data retention

Retention periods depend on the category of data, the status of the account or envelope, and applicable legal obligations. In general, we retain the following categories of data:

  • Original uploaded documents and signed PDFs associated with an active account and completed envelope.
  • Certificates of completion and audit events for completed envelopes.
  • Drafts that have not been sent or completed.
  • Signer tokens, IP addresses and user-agent strings collected as signing evidence.
  • Email queue and delivery logs used to prove sending and delivery of invitations, reminders and notifications.
  • Billing and Stripe records, including subscription events, for accounting and tax purposes.
  • Deleted account data, which may persist for a limited period in backups and legal-hold records.

We keep data for as long as necessary to provide the Service, to comply with legal, tax, accounting and dispute-resolution obligations, and to preserve signing evidence for completed envelopes.

8. Your rights

Subject to applicable law (including GDPR and, where relevant, other regional privacy laws), you may have the right to access, correct, delete, restrict or object to the processing of your personal data, to data portability, and to withdraw consent. To exercise these rights, contact info@pixeltech.pl. We may need to verify your identity before processing your request. You also have the right to lodge a complaint with a supervisory authority.

9. Security

We implement technical and organizational measures designed to protect personal data, including encryption in transit, access controls and logging. We calculate cryptographic SHA-256 hashes of relevant document versions to support integrity verification and maintain separate original and completed document records. No online service can be guaranteed to be fully secure.

10. Cookies and analytics

ProSign24 uses cookies and similar technologies that are strictly necessary to operate the Service (for example, to keep you signed in) and, where applicable, analytics tools that help us understand how the Service is used. You can control cookies through your browser settings.

11. Children

ProSign24 is not directed to children under 16 and is not intended for use by minors without appropriate legal capacity.

12. Changes to this policy

We may update this policy from time to time. Material changes will be communicated through the Service or by email. The "Last updated" date at the top reflects the latest version.
